This policy explains what information INcare LLC dba INcareTrans collects, how we use it, and the choices you have. It covers incaretrans.com, our Rides, Medical Courier and Driver Training Academy services, and texts, calls and emails with us.
1. Information we collect
Information you give us:
- Book a Ride and Request a Quote forms: your name, phone and email; the rider's name if you book for someone else; pickup and drop-off addresses; date and time (and whether it's a pickup or appointment time); one-way or round trip and return time; mobility needs (for example ambulatory or wheelchair); number of passengers; optional comments; for quotes, your organization and estimated volume; and whether you agreed to texts.
- Payments: after we confirm your price, we email you a secure payment link from our payment processor (Square). You pay on Square's page. We don't receive or store your full card number.
- Card payments for online bookings: Square (Block, Inc.) processes our card payments. We send Square only the payment amount, a booking number and the payer's name. We never send trip details, addresses, mobility needs or health information. Square's own privacy notice covers the card details you enter on its payment form.
- Contact form: name, email, phone (optional) and your message.
- Medical Courier quote request: contact name, organization, phone, email, service type, pickup and delivery locations, and details.
- Driver Training Academy interest list: name, email, phone, your interest, and organization details for fleet owners.
- Share your story (testimonials): your story or video (including your image and voice), how you want to be credited, your city (optional), your relationship to the rider, your email (optional), your typed signature and the date, and, if you sign for someone else, their name and your legal authority. We keep the signed permission while the testimonial is used and for 6 years afterward.
- Information you share by phone, text or email, such as mobility needs, caregiver or facility contacts, and payer or trip-authorization details.
Please don't send medical information. We don't need diagnoses, treatment details, clinic or provider names, or Medicaid, Medicare or VA ID numbers on our website forms. We ask only for what we need to do the trip safely, such as whether the rider uses a wheelchair.
Collected automatically: our website host (Microsoft Azure) and our security check on forms (Cloudflare Turnstile, the "verify you are human" check) receive technical data such as IP address, browser type and pages visited. To prevent abuse, we store only a scrambled (hashed) version of IP addresses with form submissions.
Google Analytics: our public information pages use Google Analytics to count visits and see which pages people use. It sets cookies and sends Google technical data such as your IP address, device and browser type, the pages you visit and the site that sent you. It does not run on our request and contact forms or on the staff portal, and it does not receive what you type into a form. We don't use advertising cookies or tracking pixels on this site.
2. How we use it
- Scheduling, dispatching and completing rides and deliveries
- Confirming bookings and sending reminders and status updates, including texts if you opt in
- Answering questions and quote requests
- Managing the Academy interest list and contacting you when enrollment opens
- Billing, payer and broker authorization, and record-keeping
- Keeping our services and website safe, and meeting legal obligations
We do not sell your personal information. We do not use health-related information for marketing.
3. When we share it
We share information only when needed:
- With facilities, caregivers, payers and transportation brokers involved in your trip
- With courier clients and recipients of a delivery
- With service providers who help us run our business, such as website hosting (Microsoft Azure), form security checks (Cloudflare Turnstile), website analytics (Google Analytics), payment processing (Square), recruiting and job applications (Rippling), email (Microsoft 365), scheduling and dispatch software, and text-message delivery, and only for that purpose
- When the law requires it, to protect safety, or as part of a business sale or reorganization
Rides arranged by a broker, health plan, the VA or a healthcare facility. When we provide these rides, we may handle your information as a contractor or business associate under federal privacy laws such as HIPAA, and under that program's own rules. Those protections apply in addition to this policy. We never sell that information or use it for marketing.
4. Text messages (SMS)
Program name: INcareTrans Service Alerts
What it is: INcare LLC dba INcareTrans sends text messages about services you have requested. These include:
- Ride confirmations, pick-up reminders, driver-arrival and dispatch updates (Rides)
- Pickup and delivery confirmations, ETAs and delivery status updates (Medical Courier)
- Interest-list and enrollment updates (Driver Training Academy, once enrollment opens)
- Replies to questions you send us
Job-application texts are not part of this program. See Recruiting texts (Rippling) below.
We do not send marketing or promotional text messages under this program.
How you opt in: You opt in by checking the SMS consent box on one of our website forms, by asking us to text you when you book, or by texting us first. Checking the box is optional.
Consent is not a condition of purchase. You do not have to agree to texts to book a ride, request a delivery, join the Academy interest list or use any of our services. We can reach you by phone or email instead.
Message frequency varies depending on how many trips or deliveries you schedule.
Msg & data rates may apply. Your carrier's plan rates apply. INcareTrans does not charge for texts.
To opt out, reply STOP to any message. We will send one message confirming that you've opted out, and then we stop texting you. Reply START to opt back in. Opting out does not cancel your trips or deliveries. You can also opt out by replying QUIT, END, CANCEL, UNSUBSCRIBE or REVOKE, or by telling us any other reasonable way, such as calling (317) 528-0018 or emailing transportation@incaretrans.com. We honor opt-outs within 10 business days, and usually much sooner.
For help, reply HELP, call (317) 528-0018 or email transportation@incaretrans.com.
Carriers are not liable for delayed or undelivered messages.
Privacy: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. SMS opt-in data and consent will not be shared with any third parties. Your number is shared only with the service providers that deliver our texts, and they may use it only for that purpose.
Eligibility: You must be 18 or older and the account holder of the mobile number, or have the account holder's permission.
Recruiting texts (Rippling)
If you apply to work with INcareTrans, you may also get text messages about your job application, such as interview scheduling and application status. These come from a separate recruiting text program that we run through our recruiting software, Rippling. They are not part of INcareTrans Service Alerts, and the Service Alerts terms above don't cover them.
- How you opt in: by agreeing to texts when you apply. Agreeing is optional and is not a condition of being considered for a job.
- Message frequency varies with your application. Msg & data rates may apply.
- To opt out, reply STOP to a recruiting text. For help, reply HELP, call (317) 528-0018 or email transportation@incaretrans.com.
- STOP and HELP work separately for each program: opting out of recruiting texts doesn't opt you out of Service Alerts, and opting out of Service Alerts doesn't opt you out of recruiting texts.
- We don't share your mobile number or text consent with third parties for marketing. Rippling and its text-delivery providers use it only to send these messages.
5. How we protect it
We use reasonable administrative, technical and physical safeguards. No system is 100% secure, so please don't send sensitive health details through website forms or email unless we ask for them.
6. How long we keep it
We keep information as long as we need it to provide services and to meet legal, billing and contract requirements. After that, we delete it or make it anonymous.
- Ride and booking records: 6 years, or longer if a payer or government contract requires it.
- Denied or expired website requests: deleted after 90 days.
- Website ride requests: deleted from our website system 180 days after the trip; trip records are kept in our dispatch system.
- Testimonial consent records: while the testimonial is used, plus 6 years.
- Text and call consent records: at least 5 years after last use.
7. Your choices
- Ask to see, correct or delete your information, subject to legal and contract retention rules
- Reply STOP to stop texts, or ask us to stop non-essential emails
- Set your browser to block cookies, or opt out of Google Analytics with Google's opt-out browser add-on (tools.google.com/dlpage/gaoptout)
To make a request, contact us using the details below. We may need to verify who you are first.
8. Children
Our website is not meant for children under 13, and we don't knowingly collect their information online. Rides for minors are booked by a parent, guardian or authorized facility. Riders under 18 must ride with an adult escort (18 or older).
9. Links to other sites
Our site may link to other sites, such as maps or job platforms. Their privacy practices are their own.
10. Governing law
This policy is governed by the laws of the State of Indiana.

We'll post any updates here with a new "Last updated" date.
