About the Role

INcareTrans is seeking a highly motivated and versatile Compliance, Maintenance, and Safety (CMS) Officer/Office Manager. This multifaceted role requires an individual who is adept at managing compliance, maintenance, and safety while efficiently handling office management duties. The ideal candidate will possess strong technical skills, a proactive attitude, and the ability to work in a fast-paced environment. This position requires a self-starter who can manage multiple responsibilities, assist with dispatching, and occasionally drive when needed. The candidate must be capable of making sound decisions independently and leading by example.

Requirements

Compliance, Maintenance, and Safety (CMS):

  • Compliance:

    • Ensure adherence to all company policies, procedures, and industry regulations, including ADA rules and regulations.

    • Develop and implement compliance programs to maintain high standards of safety and operational efficiency.

    • Conduct regular audits and inspections to ensure compliance with safety standards.

    • Maintain up-to-date knowledge of regulatory changes and ensure the company’s practices reflect those changes.

    • Provide training to staff on compliance and safety protocols.

    • Handle compliance-related inquiries and issues from clients, employees, and regulatory bodies.

  • Maintenance:

    • Oversee the maintenance of the company’s fleet to ensure all vehicles are safe and operational.

    • Schedule regular maintenance and repairs for vehicles.

    • Coordinate with vendors and service providers for vehicle maintenance and repair services.

    • Maintain detailed records of all maintenance activities and ensure compliance with maintenance schedules.

  • Safety:

    • Develop, implement, and manage safety programs to minimize risk and enhance safety performance.

    • Conduct safety training sessions for employees.

    • Investigate and report on incidents and accidents, implementing corrective actions as needed.

    • Promote a culture of safety within the organization.

    • Ensure emergency response plans are current and effectively communicated to all staff.

Administrative Officer:

  • Manage day-to-day office operations to ensure a smooth workflow.

  • Provide excellent customer service and handle phone inquiries with professionalism.

  • Supervise and support office staff, fostering a positive and productive work environment.

  • Handle administrative duties such as filing, data entry, and managing office supplies.

  • Prepare and manage budgets, financial reports, and office records.

  • Coordinate with other departments to ensure operational efficiency.

  • Assist with dispatching duties as needed, ensuring timely and accurate scheduling of transportation services.

  • Step in as a driver when necessary to support operational demands.

  • Assist with payroll duties as needed

Requirements:

  • Education: At least an Associate’s, Bachelor’s degree preferred. (Recommended, but not required).

  • Experience: Minimum of two years of supervisory or management experience, preferably in a health or customer-facing role.

    • Some experience in dispatching required.

  • Technical Skills:

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

    • Ability to quickly learn and adapt to new software and tools.

    • Excellent computer skills and technical proficiency.

  • Communication Skills:

    • Strong written and verbal communication skills.

    • Ability to speak clearly and concisely to drivers and clients, maintaining a professional demeanor at all times.

    • Excellent phone etiquette.

  • Personal Attributes:

    • Self-starter with the ability to work independently and handle constructive criticism.

    • Strong attention to detail and analytic skills.

    • Ability to enforce rules and regulations impartially.

    • Capable of making decisive decisions in difficult situations.

    • Trainable and able to train others effectively.

    • Must display professionalism, punctuality, and lead by example.

    • Ability to separate personal feelings from the requirements of processes and procedures.

    • Willingness to put the company’s interests first and demonstrate loyalty to the owners.

    • Ability to work extra hours when needed to ensure tasks are completed.

Working Conditions:

  • This is an office-based position with no remote work option.

  • Applicants must be willing to commute to the office in Greenwood, IN.

  • Must dress appropriately and professionally at all times, reflecting the image of a leader.

  • Must not be afraid to get hands dirty when necessary.

Additional Duties:

  • Other unspecified duties as required by the management.
